Overview

The Administrative Assistant plays a key role in ensuring smooth office operations.  While working with the Association Manager and the Onsite Office Manager, the administrative assistant must be detail-oriented, have strong organizational skills, have excellent time management abilities and have a knack for problem solving.  The Administrative Assistant must also have excellent phone etiquette and have the ability to greet, and assist customers courteously and professionally.

General:

  1. The position is hourly (non-exempt).
  2. The work is seasonal.
  3. The Administrative Assistant reports to the Association Manager and the On Site Office Manager.

 

Qualifications:

  • Experience in organizing and operating an office, a working knowledge of specified computer systems/software and standard office equipment (2) ability to interface with members, contract personnel, WACC employees and Board members in a constructive and professional manner.

 

Duties include but are not limited to:

  1. Be proficient as a self-starter, and have the ability to prioritize work
  2. Handle queries on the phone, in person, and by email in a positive and friendly manner
  3. Create and post to social media content for the Proshop and the Grill to Facebook and Instagram, or any other social media site at the direction and approval of the Onsite Office Manager.
  4. Create and process tenant registration packets.
  5. Distribute and record Common Area Use/Clubhouse Use reservations. Collecting fees as necessary.
  6. Distribute and process Architectural Construction applications.
  7. Prepare, maintain, and distribute New Member binder/flash drive/zip drive.
  8. Process Title Company requests.
  9. Maintain and issue boat ramp access cards for the boat ramp, and keys for the sports courts.
  10. Maintain and file correspondence and other related files.
  11. Answer phone calls, greet and assist customers courteously and professionally.
  12. Post daily sales of the Grill and Proshop/Golf Course with accuracy, prepare and make deposits.
  13. Help maintain office supplies.
  14. Process daily mail.
  15. Help create an office manual.
  16. Any other duties as directed by Association Manager and/or Onsite Office Manager.
