DEPARTMENT OF BEHAVIORAL HEALTH

Behavioral Health Administrative Specialist
$3,293.74 – $4,003.57 / Month
$19.00 – $23.09 / Hour

This is a grant funded position with a limited term of 24 months.  Employee’s tenure with the County will be terminated when the grant funding ends, or at the end of the 24 months, whichever occurs first.

Definition:

Under general supervision, to coordinate and perform the review and processing of specialized behavioral health records; to be responsible for client billing; to assist with the development and maintenance of quality improvement; to receive information requests, providing information and referring information requests to other staff; to operate and use computers and office equipment; and to do related work as required.

Examples of Important and Essential Duties(The following is used as a partial description and is not restrictive as to duties required.)

Has responsibility for the development, review, and maintenance of client records in the Behavioral Health Department; reviews and processes changes, updates, and discharges for clients; performs a variety of specialized work in the development and maintenance of client information; processes record requests, ensuring that laws and regulations concerning records maintenance and information release are upheld; has responsibility for client billing, including private and insurance payments; performs accounts receivable work; makes adjustments to accounts; processes outcome measure data; reviews data and prepares error corrections; coordinates the processing and distribution of a variety of reports; coordinates charting requirements with clinical staff; performs medical record updating, as necessary; develops and updates service activity logs; ensures proper data entry by other staff and performs data entry when required; gathers, assembles, organizes, and tabulates data and information; receives information requests; providing information and making referrals to other staff;   types/word processes and proofreads a variety of documents and material; may work on special reports, projects, and publications;  updates and maintains computerized records and generate reports; may use spreadsheets and other special computer software; assists with quality improvement functions; operates office equipment.

Desirable Qualifications

Knowledge of:
Policies and procedures of the Behavioral Health Department. Medical and psychiatric terminology. Development and maintenance of Behavioral Health records and information retrieval systems. Fiscal record keeping and billing methods and procedures. Good public relations techniques. Laws rules and regulations governing the development of behavioral health records and the release of information. Computers and software used in office and administrative support work. Modern office methods and procedures. Correct English usage, spelling, grammar, and punctuation. Basic mathematics.

Ability to:
Coordinate the development and maintenance of client information in the Behavioral Health Department. Maintain responsibility for Behavioral Health Department client billing and accounts receivable. Perform a variety of specialized behavioral health records development and maintenance work. Interpret and apply policies, rules, and regulations governing the development and maintenance of behavioral health records, especially those related to the release of information. Follow oral and written directions. Type or use word processing software at an acceptable speed to meet production requirements. Gather and organize data and information. Maintain and update records and reports. Perform fiscal record keeping and support work. Operate a computer and use department software in the performance of assigned work. Operate and use office equipment. Deal tactfully and courteously with the public and other staff when explaining the functions and policies of the work area where assigned. Establish and maintain cooperative working relationships.

Training and Experience:
Any combination of training and experience, which would likely provide the required knowledge and abilities, is qualifying.   A typical way to obtain the required knowledge and abilities would be:

Two (2) year of previous behavioral health record keeping and general support work comparable to that of a Behavioral Health Records Technician II with Trinity County.

TYPICAL PHYSICAL REQUIREMENTS:
Sit for extended periods; frequently stand and walk; normal manual dexterity and eye-hand coordination; lift and move objects weighing up to 25 lbs.; corrected hearing and vision to normal range; verbal communication; use of office equipment, including computer, telephone, calculator, copiers, and FAX.  

TYPICAL WORKING CONDITIONS:
Work is performed in an office environment; continuous contact with other staff and the public.

June 2022 Salary Range:

$3,181.13 – $3,866.68 / Month
$18.35 – $22.30 / Hour
