Overview

Overview: Under the direction of the Executive Director the Charitable Giving Coordinator
administers the Stewardship Vision Circle program and foundation based grants. The
Charitable Giving Coordinator is responsible for creating meaningful experience for our
donors to ensure high retention rates of members, and procurement of prospective
donors.

Responsibilities:
Donor Recruitment
● Facilitate monthly Vision Circle (VC) prospect Zoom presentations
● Track potential donors from the various SBTS customer databases and
periodically review the individual profiles to gauge fundraising opportunities
● Ensure public marketing materials include accurate and timely information
about the vision circle
● Seek referrals from current donors in order to grow the VC cohort
● Proactively seek new and creative recruitment opportunities
Donor Management
● Enter and track individual donor information and donation amount each and
every time funds are received
● Send donation acknowledgement to each donor within 3-5 days of receiving
their donation
● For the donors interested in attending an event or a Lost Sierra ”Experience,”
prepare and facilitate trip itineraries
● Collaborate with Yuba Expeditions on timely planning measures and trip
components to ensure a positive experience for VC members attending mule
trips
● Maintain and regularly update the SBTS CRM – Network For Good (NFG)
● Help to manage donations for all running campaign fundraisers
● Monthly imports from Paypal of Core Memberships, deactivating declined cards
and emailing expired/expiring members
● Check SBTS Master Members spreadsheet and NFG for expired members and
email members accordingly

● Provide tax acknowledgement letters for all regular donations and ensure we
capture all third party donations as well
○ Provide all donors with year-end tax acknowledgement letters
● Manage Adopt-A-Trail NFG tax acknowledgement letters and payment tracking
○ Report to Partner Collective Coordinator

Donor Retention:
● Follow-up with donors prior to a lapse in their yearly pledge renewals
● Seek donor information through the VC engagement survey, phone calls,
and in-person meetings in order to get to know the donors motivations for
supporting SBTS
● Work to retain donors through renewed pledge cycles
Philanthropy & Foundation Grant Responsibilities
● Continue management and renewal of foundations grants such as the
Negley Flinn Foundation and Marin Community Fund
● Seek addition foundation funding opportunities
Partner Collective Assistance:
● Assist Partnership Coordinator with scheduling and facilitating Connected
Communities fundraising calls
● Stay in communication with Partnership Coordinator on partner Mule Trips as
many times these experiences overlap and can be planned concurrently
Fiscal Responsibility
● Meet the minimum fundraising goal set by the Executive Director annually
● Monitor yearly Vision Circle goals and ensure that reasonable goals are included
in the yearly budget
● Actively manages assigned financial resources in accordance with established
procedures and reporting requirements
● Ensure all overtime is approved prior to accrual

● Vision ability requirements include the ability to inspect, identify, observe, and
assess situational work environments both close up and at a distance.
Work Environment:
● Required attendance at all Vision Circle visits and outings with donors; including
but not limited to mule trips, dinners, events
● Occasional job related travel for training, meetings and/or events
Certifications and Endorsements
● Valid Driver’s License Required
Minimum Qualifications:
● Minimum 2 years donation management experience/or equivalent Bachelor’s
Degree
● Individuals need to be willing and able to work with peers across various offices
and accomplish tasks associated with a variety of projects in any given week.
● Must exhibit professional communication skills both verbal and written
● Well versed in using MS Office, Google Drive, Word, Exel, Powerpoint
● Proven ability to convey information and ideas clearly
