Overview

  1. Scope and Range of Responsibility: Under the direction of the HR and the Frontline/Resource Department, incumbent will support the Human Resources and AJCC Resource Department initiatives, goals, processes and procedures.

 

  1. Mission Elements of the Alliance for Workforce Development, Inc.: The organization provides workforce development and training services to eligible participants through the use of WIOA funds. In addition, the organization coordinates AJCC’s, provides employer services to enhance the connection between employers and job seekers, and provides complimentary community and workforce development services through the use of other funding sources (i.e., non-WIOA funds).  The mission statement and shared values are contained in the Employee Handbook and are posted in the workplace.

 

  1. Position Responsibilities and Duties: Position Responsibilities are rated as part of the employee’s competency-based performance appraisal. Within the parameters established by the Supervisor, and approved policies and procedures, the incumbent is assigned the following position responsibilities and duties:

 

  1. Frontline/Resource Support
  • Distribute mail, and answer and direct calls using a multi-line telephone; in a fast-paced office setting where friendly, timely and professional customer service is essential.
  • Professionally and in a customer-focused manner, greet and refer clients to various services and agencies.
  • Use good time management, organizational, and prioritization skills to balance direct customer service responsibilities with clerical duties.
  • Track customer referral data as directed.
  • Maintain the lobby, customer service, computer lab, resource libraries and conference areas in a clean and orderly manner.
  • In coordination with the Frontline Supervisor and the Operation Coordinator, maintain required facility signage, safety requirements, and facility maintenance as directed.
  • Coordinate use of computer labs by AJCC clients.
  • Maintain an inventory of AFWD office supplies and prepare purchase orders for needed materials.
  • Other duties as assigned.

 

  1. Human Resources Support Responsibilities:
  • Provide support during the onboarding process for all new hires. Track completion and assist new hires with the onboarding platform.
  • Collect, verify, and prepare timesheets for payment.
  • Personnel file management.
  • Collect proper documentation for employee separations.
  • Assist in personnel recruitment activities.
  • Field all HR related calls to the appropriate staff members.
  • Track HR related training, due dates and recertification requirements.
  • Other duties as assigned

 

  1. Essential Functions
  2. Maintains current knowledge of AFWDs policies and procedures.
  3. Travel with, or without, notice overnight. Weather and related road conditions must be considered when travel is required.
  4. Operate a motor vehicle or arrange transportation to accomplish duties.
  5. Maintain good attendance, punctuality, dependability, and flexibility.
  6. Exercise good judgement in analyzing and solving problems.
  7. Maintain a high level of confidentiality and professionalism.
  8. Must be able to meet deadlines and produce accurate work under pressure and in a fast-paced environment.
  9. Must be able to prioritize multiple assignments.
  10. Must be able to work effectively as a member of a multi-functional services team.
  11. Ability to use a personal computer, including word-processing, spreadsheet, MIP accounting database and presentation graphics software.
  12. Must be able to use office equipment, including fax, multi-line telephone, copy machine, 10 key calculator, audio-visual equipment, and shredder.
  13. Ability to type, accurately, 35 wpm.
  14. Maintain a professional appearance, consistent with private and public sector middle-level staff.
  15. Lift to waist height, turn and twist and transport equipment/files up to 20 pounds occasionally.

 

Minimum Qualifications

  1. A High school diploma or equivalent is the minimum qualification. Associate’s or Bachelor’s degree preferred.
  2. Two years of clerical, or related, college level study, or two years of clerical and administrative assistant experience.
  3. Work is normally performed in an office setting, but the incumbent will be required to travel out of town for training, meetings and to provide on-site assistance; therefore, must be able to travel and operate a motor vehicle or arrange for travel to perform duties.
  4. Must possess a valid California Driver’s License and have a good driving record.
  5. Provide proof of automobile insurance which satisfies California Law, agree to a background check required to work with you and provide “right to work” documentation upon appointment.

 

6.  Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing duties of this job, the employee is regularly required to talk and hear. This is largely a sedentary role at a desk or working on a computer. This would require the ability to lift office products and supplies, up to 25 pounds waist height, open filing cabinets, turning, twisting, kneeling and bending as necessary. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
