Position Title: Membership Coordinator

Status: FT, Non-Exempt

Reports To: Development Manager

Programs Department: Development


Under the supervision of the Development Manager, the Membership Coordinator is responsible for:
Managing Turtle Bay’s Membership Program, which includes:

  1. Processing Memberships Sold.
  2. Providing customer service to sell Memberships and solve any Membership-related problems.
  3. Training staff members (Development and Guest Services) to accurately process memberships.
  4. Achieving monthly Membership revenue goals.
  5. Growing Membership by participating in plans to reach new members and retain current members.
  6. Providing community outreach to promote Membership.

The Membership Coordinator is also responsible for the processing of other Development-related programs including the Adopt-An-Animal program, River of Turtles program, and additional gift processing as assigned.

40 hours per week.



  • Coordinate all aspects of Turtle Bay’s membership program including membership processing, customer service, goal tracking, training, group sales, discounts, reporting, sales, outreach, and member events.
  • Proficient use of Turtle Bay’s database system to track and maintain accurate Membership files and communicate with members.
  • Coordinate membership appreciation events.
  • Work with Marketing to develop strategies for marketing membership to the community at large.
  • Responsible for managing the membership budget and reaching the annual sales goal.

Development Fundraising Programs

  • Primary Development Team Member to manage River of Turtles and Adopt-An-Animal Programs, coordinating all aspects of the programs including sales, marketing outreach, processing, customer service, goal tracking, and reporting.
  • Responsible for the annual sales goals of both programs.

Development Donation Gift Entry and Acknowledgement

  • Maintain weekly donor gift entry and acknowledgements, as assigned.
    Represent Turtle Bay in the Community and Museum Industry
  • Develop and maintain positive relationships and professional ties in the community and the museum industry.
  • Support Marketing Director by suggesting items of interest to grow and maintain Membership base.

Development Department support:

  • Attend bi-weekly program planning meetings and report to team.
  • Assist with community outreach booths as needed to keep Turtle Bay is involved in all aspects of the community and perceived as involved and invested.
  • Attend and assist at all Development events (All Development Team Members work at all events).

Other duties as assigned.


  • Associate degree required. Bachelor’s degree preferred.
  • Minimum of two (2) years of customer support/service experience.
  • Must demonstrate some supervisory or training experience/knowledge/aptitude.
  • Database experience preferred (knowledge of Altru/Blackbaud products a plus).


  • Must demonstrate a high acumen for detailed data entry with attention to the smallest data points.
  • Must demonstrate the ability to perform repetitive work and continue to maintain high standards.
  • Ability to create and maintain cooperative and effective interactions with staff, visitors, volunteers, and the public.
  • Strong written and oral communication skills.
  • Ability to work as a cooperative team member and to think creatively to build the membership program.
  • Exceptional organization skills and ability to execute multiple tasks concurrently.
  • Experience with computers and computer software including word processing, spreadsheets, and database programs.
  • Ability to work independently.
  • Possess a valid California driver’s license or be able to acquire within (10) ten days.
  • Provide a clean DMV report if requested.
  • Knowledge of teaching principles and techniques; public relations skills and techniques; effective written and oral communication skills; effective financial and time management and organizational skills; specialized content area.
  • Available to work flexible hours including evenings, weekends, holidays or extended work day.
  • Ability to supervise and provide guidance for volunteers at Membership events and other activities, as assigned.


  • Train staff and volunteers on Membership best practices and correct procedures for database entry.
  • Monitor membership data entered and provide feedback and training when necessary.
