The Office Assistant plays a crucial role in ensuring the smooth and efficient functioning of the office environment. This position involves a variety of administrative and clerical tasks to support daily operations, enhance organizational effectiveness, and contribute to a positive work environment.

 

Key Responsibilities:

  1. Administrative Support:
  • Provide general administrative support such as answering phones, managing emails, and handling correspondence.
  • Schedule appointments, and meetings, and maintain calendars for office staff.
  • Prepare and distribute internal and external communications.
  1. Data Entry and Record Keeping:
  • Accurately enter and maintain records and filing systems.
  • Organize and update documents, reports, and other important information.
  1. Office Organization:
  • Maintain a clean and organized office space.
  • Order and manage office supplies and equipment.
  1. Reception:
  • Greet visitors and employees in a professional and friendly manner.
  • Manage front desk activities, including handling incoming calls and directing inquiries.
  1. Support for Staff:
  • Assist colleagues with various tasks as needed.

Qualifications:

  • Strong organizational and multitasking skills.
  • QuickBooks experience is a plus, but not required.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a high level of accuracy.
  • Ability to work independently and collaboratively as part of a team.

Working Conditions:

  • Typical office environment.
  • Standard working hours, with occasional flexibility required.
  • May involve sitting for extended periods and performing receptive tasks.
