Red Bluff Cemetery District

Part-time 9am – 1pm
Monday – Friday
Once a month will work 1pm – 5pm
Wage: $13-14 per hour

Under general supervision, to provide secretarial, clerical accounting and general office work in support of efficient and effective District office operations; to provide professional and courteous customer service at all times; and to perform related duties as assigned.

Job Duties – May include, but are not limited to:

  • Performs responsible secretarial work to support the District Manager and Board of Trustees
  • Prepares monthly Board of Trustees meeting agenda; attends meetings; prepares and distributes meeting minutes
  • Evaluates office procedures and makes recommendations for modifications as necessary to maintain efficient and effective operations
  • Researches and compiles information from a variety of sources for the completion of forms or preparation of reports
  • Proofreads and checks typed and other materials for accuracy, completeness and compliance with District policies and regulations
  • Establishes, organizes, and maintains office filing systems
  • Enters and retrieves computer data; generates computer reports as required
  • Schedules appointments, meetings, work activities, and other functions as required
  • Assists in preparing the District’s annual proposed and actual budget
  • Performs a variety of clerical accounting duties, including but not limited to preparing payroll and maintaining payroll records, processing accounts payable, maintaining regular and special accounts, preparing adjusting and closing entries and trial balances, receiving monies for sales and services, preparing bank deposits, collecting and preparing data for annual audit, maintaining accurate financial records and preparing financial reports
  • Provides information and assistance to the public, requiring the use of judgement and the interpretation of policies, procedures or rules; assists in coordinating office activities with those of other agencies and organizations as necessary
  • Meets with and assists the public in the selection of burial space, vaults, liners and other products and services; schedules and assists in coordinating burial services with funeral directors; assists in coordinating related activities with Maintenance Supervisor
  • Maintains accurate and up-to-date cemetery map book; assists the public in locating grave spaces as requested
  • Answers the telephone and provides information and assistance to callers or forwards calls to appropriate staff person; takes messages as necessary; greets and assists visitors
  • Performs routine clerical support work as required, which may include but is not limited to copying documents, filing/retrieving files, processing mail, faxing information, maintaining lists and logs, ordering supplies and forms, etc.
  • Operates a variety of standard office equipment, including a computer, printer, copier, adding machine, fax machine, typewriter, telephone, etc.
  • Attends various meetings and training as required or appropriate to enhance job knowledge and skills

Minimum Qualifications

Knowledge of:

  • District policies and procedures
  • Laws, codes, and regulations governing operations of the District
  • Methods of preparing and processing various administrative, financial and tax records, reports, forms, and other documents
  • Basic accounting mathematics
  • Methods, practices, and terminology used in clerical accounting work
  • Standard office management and secretarial/clerical practices and procedures
  • Modern office technology, including the use of computers for word and data processing
  • Record keeping, report preparation and filing systems and methods
  • Correct English usage, including spelling, grammar, punctuation, and vocabulary
  • Techniques of professional customer service

Education: High school diploma or GED equivalent
Experience: Three years of increasingly responsible secretarial and clerical accounting experience

Other Requirements:

  • Must possess a valid CA driver’s license and have a satisfactory driving record
  • Must be able to word process at a rate of 45 words per minute
  • May be required to pass physical including drug screening test
